Description

The Marine Planning Contribution Agreement Coordinator is responsible for providing comprehensive support to a dynamic team working on a wide variety of files in Haida Gwaii. The CA Coordinator will coordinate and oversee the budgeting and reporting for multiple contribution agreements, which involves, but not limited to working with the Marine Planning Program Manager and management team to track compliance on reporting schedules for 10+ contribution agreements, both financial and narrative.  
 
  • Track expenditures and deliverables for agreements and associated projects. 
  • Complete annual budgeting and financial planning. 
  • Work with technical staff to support projects being on task and on budget to meet financial requirements and deliverables laid out in contribution agreements. 
  • Coordinate alignment of MPP budget and CHN budget ledgers. 
  • Ensure scheduled invoices are issued for each agreement, as applicable. 
  • Ensure alignment of the MPP budget and CHN budget ledgers. 
  • Ensures reports, data, and tracking systems are maintained, filed and organized. 
  • Manages the Marine Planning team calendar and tracks timelines and reporting deadlines. 
  • High level of budgeting and finance support through monitoring, tracking and helping manage financial reports. Must understand details of multiple contribution agreements. 
  • Draft reports and briefing notes for committees and leadership.  
  • Coordinate meetings, including scheduling, logistics, agendas, transcribing minutes, etc. 
  • Maintain and support office functions, following all CHN procedures, and working collaboratively to put operational practices in place to support the work of the program 
  • Support planning and delivery of team building initiatives, staff training, etc.  
  • Support Marine Planning staff with administrative tasks as needed.  
  • Maintain confidentiality.  
  • Other related duties as required. 
 
QUALIFICATIONS  
  • Grade 12 graduation, preference for special office training or an equivalent combination of training skills and experience.  
  • Financial experience is an asset. 
  • Experience working with Microsoft 365, SharePoint and Teams is considered an asset. 
  • Computer literate with knowledge of Microsoft Office, particularly Microsoft Word, Excel and PowerPoint software. 
  • Excellent written and verbal communication skills, including strong attention to detail. 
  • Experience with budgets, financial reports, and financial tracking is an asset. 
  • Ability to take detailed minutes and produce minutes in a timely fashion. 
  • Ability to work in a self-supervisory, multi-task environment within clear timelines. 
  • Demonstrated capacity to build relationships, work effectively in a team, and adapt creatively to changing situations.    
  • Must have a valid B.C. driver’s license.
